Planning a wedding from your home laptop in the US or UK might seem a little crazy idea. After photographing weddings across Italy, I’ve worked alongside many different planners and seen how much they can influence the experience of a wedding day. This is my personal selection of wedding planners in Tuscany whose work, approach and experience I find worth knowing about. Just to remind you – the venue coordinator and wedding planner are not the same. But ok … heads up – here is the solution to get a safe and professional wedding planner if you are not living in Italy.
What are the responsibilities of destination wedding planners?
A destination wedding planner takes care of everything for weddings held away from your hometown, from choosing the venue to arranging accommodations, transportation, vendors, managing logistics, designing sets, and offering different wedding photographers/videographers, including legal requirements for foreign locations. NOTE: The venue coordinators are responsible only for the venue area and services. However, some of them can suggest trusted friends/vendors for catering, floristics, etc. Worth mentioning that venue coordinators might not be as fluent in English as you would like.

How to choose between wedding planners in Tuscany
With 50 names on this list, finding wedding planners in Tuscany isn’t the hard part. Picking the right one is. Here’s how I’d narrow it down if I were planning from the US, Canada or the UK.
Start with style. Look at three or four full weddings each planner has done, not just their best Instagram posts. Some love a clean, minimal look; others go big with flowers, color and long candlelit tables. You’ll know quickly whose taste feels like yours.
Check where they really work. Most wedding planners in Tuscany say they cover the whole region, but each one has a home base and favorite venues. A planner who does ten weddings a year in Chianti will know those villas, roads and vendors far better than one who’s there once a season.
Ask about the team. Who is on site on the day? For 100+ guests or a three-day weekend, you want a lead planner plus assistants, not one person running between the kitchen and the ceremony.
Test the communication. Send a short email and see how long the answer takes and how clear it is. If you’re in New York or London, you’ll be emailing across time zones for a year, so this matters more than people think.
Talk about money early. Ask how they charge (flat fee or a percentage), what’s included and what isn’t. A clear, written proposal is a good sign.


Where wedding planners in Tuscany work
Tuscany is bigger than it looks on a map. From Florence it’s about 1 to 1.5 hours to the Val d’Orcia and around 2 hours to the coast, so where you marry changes your guest logistics a lot. Roughly, the regions break down like this:
Florence and Chianti: villas, wineries and old farmhouses, mostly 30 to 60 minutes from Florence airport. The busiest area for destination weddings.
Siena and the Val d’Orcia: the cypress-lined hills you see on postcards, small medieval villages and borgos you can book for the whole weekend.
Lucca and Pisa: elegant villas with big gardens, close to Pisa airport, which helps guests flying in from the UK.
The Maremma coast: beach resorts and pine forests by the sea, like La Pescaia, where I photographed Laken and Chad’s wedding.

Don’t plan the classic Tuscan wedding
Here’s my honest advice: don’t just copy the photos everyone has already seen. Most Tuscan venues have three or more beautiful spaces, so over a full wedding day you can use them like five venues in one. Ceremony in the garden, aperitivo between the vines, dinner under old trees, party in the limonaia or the cellar.
Villa Medicea di Lilliano is a great example, with plenty of options around the villa and the vineyards. A good planner will help you use the whole place, and every change of space gives your guests a little surprise and gives me completely different photos.


Full planning, partial planning or day coordination?
Wedding planners in Tuscany usually offer three levels of help:
Full planning: from the first venue visit to the last dance. They find the venue and every vendor, handle contracts, design and the whole timeline. Best if you’re planning from abroad and can’t visit Italy often.
Partial planning: you’ve booked the venue and some key vendors; the planner fills the gaps and runs the day.
Day coordination: the planner joins in the last 4 to 8 weeks, checks every detail and runs the wedding day. Good for small weddings where you’ve done most of the work yourself.
For couples coming from the US, Canada or the UK, I usually see full or partial planning work best. Local knowledge, language and vendor relationships are exactly what’s hard to do from far away.
Red flags to watch for
Most wedding planners in Tuscany are great at what they do, but a few warning signs are worth knowing before you sign anything:
No full weddings to show. If a planner only shares single styled shots, ask for a complete gallery or a reference from a past couple.
Pushing one venue or one vendor list. Some planners get commissions. That’s normal in Italy, but you should still see options that fit your budget and style.
Vague pricing. If you can’t tell what the fee covers, ask again until it’s written down.
Slow or unclear answers. If it’s hard to get a reply now, it won’t get easier in the busy summer months.
Their first Tuscan season. New planners can be excellent, but for a big destination wedding I’d want someone who has already worked through a hot July, a rainy May and a venue change.
None of these is a deal-breaker on its own. Trust your gut, and choose the planner you’d happily have a long dinner with, because that’s basically what the next year will feel like.
A typical timeline with a Tuscany wedding planner
Every wedding is different, but this is roughly how a year of planning looks:
12–18 months before: book your planner and venue.
9–12 months: photographer, caterer, florist and music.
6–9 months: guest website, hotel blocks and transport.
4–6 months: paperwork for a legal ceremony (your planner will guide you through the documents) and design decisions.
2–3 months: menu tasting and final details.
Last month: the final timeline, shared with every vendor, including me.

How much does a wedding planner in Tuscany cost?
Here’s the short version. A trusted, experienced planner in Tuscany usually starts at around €3,000. Younger planners often work for roughly €1,500 to €2,000 and can do a proper job; just make sure it’s not their first Tuscan season. Prices go up for two-day weddings, bigger guest lists and full design and styling, so treat these numbers as a starting point and confirm current prices with each planner.
What changes the price
Mostly three things: how many days and events you plan (a welcome dinner, the ceremony and a farewell lunch are three different jobs), how much you want the planner to handle (full planning, partial planning or day-of coordination), and extras like legal paperwork, translations and guest transport. Ask for a written list of what’s included before you compare quotes, because two planners at the same price can offer very different things.
How I look at a planner on the wedding day
On a wedding day, I notice quickly how the planner has set up the whole day: where the morning prep is, how far it is to the ceremony, how the ceremony is arranged, where the aperitivo happens and whether the timeline leaves space for portraits when the light is good. Planners who think about these things make the day calmer for you and easier for everyone else. Wedding planner or venue coordinator: which do you need?
They are not the same job. A venue coordinator looks after the venue itself, its spaces and its services. A wedding planner looks after your whole wedding: vendors, logistics, accommodation, transport and, for couples from abroad, the paperwork and the translation between you and everyone else. Venue coordinators can sometimes suggest trusted vendors, but their English is not always as fluent as you would like, so if you are planning from the US or UK, a local planner is usually worth it.
